The Central Data Error Resolution Log establishes a clear and consistent process for logging, resolving, and tracking industry data issues under the REC. It acts as a single source of truth, providing transparency and visibility across all data-related concerns.
A wide range of industry data is managed through REC processes, directly impacting the operations of stakeholders and consumers.
Implementing the Central Data Error resolution Log as a robust mechanism for tracking data issues ensures transparency and supports effective resolution management.
1. Submission Types
The Central Data Issue Log will consolidate submissions made via the portal, whether as newly raised issues or existing issues shared for visibility.
1.1 Newly Raised Issues
These are newly identified data errors that are not suitable to be managed or resolved in established resolution processes. They require investigation to determine the root cause and appropriate resolution pathways. The new submission acceptance criteria does apply to these entries.
1.2 Existing Issues
These are data issues already being managed through established resolution processes. They're to be submitted for inclusion into the log to ensure wider visibility and comprehensive tracking. The new submission acceptance criteria does not apply to these entries.
All submitted data issues will be reviewed and validated during the weekly Central Log moderation session to maintain accuracy and consistency.
The onus to progress issues through to resolution remain with the pre-existing committee or process.
2. Acceptance Criteria
To ensure the log remains focussed and effective, only suitable issues will be accepted as Newly Raised Issue submissions. The following criteria will apply:
Eligible Submitters
- REC Party members
- REC Non-Party members who are signed up for REC Services (e.g. CSS Users)
Minimum Acceptance Criteria
To be accepted, the issue must meet at least one of the following criteria:
- Affect multiple parties
- Require a wider impact assessment that DCC cannot carry out
- Be cross-code affecting
- Impact the consumer's ability to switch provider
- Have significant financial implications to the impacted party
- An identified issue which has the potential to meet acceptance criteria if not addressed
Issues Not Suitable for Submission
- If the issue has a known resolution, it will not be accepted into the central log
- If the issue is already being managed through another channel (e.g. the ServiceNow incident portal), it will not be accepted - unless:
- It confirms a data issue not covered by existing REC services
- Its resolution will enhance data accuracy and improve outcomes for end-consumers
*If the data error is already being managed through an existing forum or process and does not meet the acceptance criteria outlined above, we still encourage you to submit it to the Central Data Error Resolution Log. This maintains comprehensive visibility across all data-related concerns.
We ask that submissions reflect issues with a notable impact, rather than isolated, low-criticality data discrepancies that can be resolved easily through existing processes.
3. Portal Navigation - Submission Form & Log
Data Error Management is accessible on the REC Portal under Organisation Management.
Once selected, users will have access to the submission form and a downloadable copy of the Central Log. The latest version of the log is expected to be shared monthly, however this frequency will be reviewed and may be increased if required, based on issue volumes and tracking needs.
Please ensure the correct contact information is provided so the moderation group can share outcomes of new submissions and request updates on existing issues.
Please take the time to select the correct submission type, as the submission form varies. Incorrect submission types will be flagged.
3.1 Central Data Issue Log
The log is divided into three sections to ensure all relevant information is captured at each stage of the resolution process while remaining easy to use for all users.
- Issue Overview - completed using information provided by the issue submitted
- Initial Assessment - populated with detail from the submitted or discussed by the moderation group for newly raised issues.
- Resolution Tracking - updated as relevant and reviewed weekly by the moderation group
4. Submission Review
As part of the Central Data Error Resolution Log process, a weekly review is conducted of all submissions by a Moderation Group to assess the suitability for log inclusion.
4.1 Newly Raised Issues
This review facilitates discussion and agreement on the proposed progression route for newly raised issue submissions ahead of RECCo approval.
The outcome from the discussion will be shared with the contact details provided on the submission form submitted via the Portal.
Updates will be provided on the status of open log entries helping to ensure transparency and accountability through to resolution.
4.2 Existing Issues
The broader issue log will be reviewed to maintain visibility of submissions and status updates for issues shared that are being managed in pre-existing processes outside of the Central Log.
